Solo HR: triage the casework before the queue takes over

Payroll needs missing hours. An employee reports a threatening message. The owner wants the handbook updated today. If you are the HR department of one, all three can land before nine. Answering the loudest request first is not a reliable triage method.

Check danger and timing first

Start by establishing whether there is immediate danger and use the emergency response route when needed. A threatening message cannot sit in an ordinary inbox while routine work is completed.

Then identify time-sensitive pay, reporting, or case obligations and involve the people qualified to handle them. Do not infer a deadline from a generic checklist. Use the applicable process and specialist guidance for the actual situation.

Give the next action an owner

A case title is not a plan. For each open item, record the next action, the authorized owner, the due time, and the support needed. “Payroll issue” becomes “Coordinate the missing-hours check with payroll, confirm the next step, and record who follows up.”

Keep the queue in an approved system. Leadership may need a capacity picture without needing confidential case details. Share only the information appropriate to the recipient and the decision.

Make the tradeoff visible

If urgent work displaces the handbook update, ask leadership to move the deadline or assign help. Do not silently promise all three. Record the agreed priority and what will wait.

A weekly casework review can ask: what is urgent, what is stuck, what needs qualified support, and who can cover when you are away? The aim is reliable follow-through and visible capacity, rather than a private list only you understand.

Try it this week

Using fictional cases, write three queue entries with a next action, owner, due time, and escalation route. Mark one routine item that would move if an urgent case arrived.
